POSITION SUMMARY

The GME Program Coordinator has a purpose to administer, coordinate and integrate the Transitional Year education program for all medical students, residents and fellows in a training program. Assumes a lead role in various major projects, on and off-site, on behalf of the departmental training programs.including overseeing and coordinating the Continuing Medical Education process at HMC.

* Resident & ACGME fellowship recruitment process: Coordinate all aspects of the recruitment process including: advertising, answering applicant questions, web page maintenance, ERAS database management, scheduling and monitoring status of applications. Manage the NRMP database of applicant ranking and matching. Coordinate/supervise all aspects of residency interview process, including the preparation and alteration of recruitment schedules. Coordinate department residency selection committee rank meeting for selection of applicants for Match list. Analyze and organize data to generate recruitment reports as required.
* Orientation: Develop orientation information with Program Director and Assistant Program Directors, including initial and recurring program orientation for incoming, returning, and rotating residents and medical students. Ensure that residents are prepared for each new rotation by provision of orientation materials and checklists prior to the start of the rotation. Ensure provision of appropriate information to GME for all new appointments to the program. Educate residents of program requirements for accrediting bodies. Coordinate distribution of regulatory departmental information to all residents, fellows and medical students. Coordinate orienting visiting and OHSU medical students to the department for their rotations, including coordinating computer access.
* Residency Program Evaluations & Examinations: Coordinate electronic evaluation process for faculty evaluations. Help in the preparation of resident performance reviews through maintenance of residency files. Coordinate resident evaluation of faculty and rotations, including data analysis. Track patient visits, required procedures as well as involvement in scholarly activity and quality improvement. Prepare annual program review for residency program and oversee completion of ACGME resident annual program evaluations. Identify problems and advise as appropriate. Prepare and distribute course and lecture evaluations. Maintain all necessary electronic records relative to evaluation processes. Monitor electronic timekeeping system to track compliance for resident duty hours. Administer and oversight for proctoring required examinations for residents. Maintain security of all test materials and assure compliance with outlined testing procedures. Order all testing materials in a timely manner. Track testing dates and time intervals and schedule testing accordingly. Recognize and maintain security of confidential and privileged information; assure confidentiality of all meetings, documents and communications.
* Off-service/Resident Scheduler: Responsible for preparing off-service and intern shift schedule and reviewing schedule for accuracy. Collect information from a variety of sources and prepares final schedule for review. Works closely with Assistant Residency Directors to finalize schedule, make appropriate changes, and distribute schedule according to established procedure one month prior to the first day of the rotation. Resolves scheduling issues or discrepancies that may arise during the month. Requires attention to detail, statistical, data modeling and logic modeling background and experience; ability to work with complex issues and independent decision making related resident scheduling (i.e.; number of required hours off between shifts, prior commitments for clinics or meetings as arranged with other departments, tracking duty hours. Manage and track didactic schedules and evaluations, coordinate resident workshops and retreats. Assist with election of chief residents. Plan yearly graduation ceremony and teaching awards.
* Administrative support for Education Faculty: Maintain calendars, accept delegated appointment scheduling authority. Prepare correspondence, reports, memos; Prepares agendas and takes minutes at Education Section Meetings; Receive and route Education Section phone calls. Assist with medical student coordination and badging as necessary. Continuing Medical Education tasks including yearly planning (topics, speakers, learning objectives, advertising, rooms and equipment reservation) and weekly coordination of Grand Rounds sessions. Record weekly sessions and upload for post-session viewing and field CME inquiries. Additional administrative tasks as assigned by the GME Program Manager.
